How to add accountant to QuickBooks Online

It’s easy to grant your accountant access to QuickBooks Online. Just log in as the admin and navigate to 'Manage Users' under Settings. Click 'Add User' and select Accountant as the role. Then, enter your accountant’s email address to send the official invitation.

1) Why you should add an accountant to your QuickBooks Online account

Adding an accountant to QuickBooks Online improves professional oversight of your business's finances. Any accountant linked to your QuickBooks accounting system can streamline financial reporting, catch potential errors, and provide expert advice on tax-related matters.

Through QuickBooks Online, accountants have access to key financial information, including transactions, reports, and tax details. They can also make adjustments, reconcile accounts, and view financial statements.

When you add an accountant to your QuickBooks Online account, you’ll grant role-based access only. This limits what your accountant can view or modify, and keeps your data safe and secure. Rest assured, your accountant cannot manage company settings, add or remove other users, or access sensitive areas like payroll unless specifically authorized.

2) How to add accountant to QuickBooks Online

Adding an accountant is a straightforward process you can do from your QuickBooks Online dashboard. Here's how:

  1. Sign into QuickBooks Online as the admin user.

  2. Click on the Gear icon in the top right corner to open the Settings menu.

  3. Under Your Company, click on Manage Users.

  4. Click the Add User button.

  5. Select the Accountant role and enter your accountant’s email address.

  6. Click Next, review the details, and then click Send Invitation.

  7. Sit back and relax! Your accountant will receive an email invite to access your QuickBooks Online account.

3) Common issues when adding an accountant to QuickBooks Online

While QuickBooks is innovative and user-friendly, issues can still crop up. If you're struggling to connect with your accountant on QuickBooks Online, check for the following errors:

  • Incorrect Email Address: This might sound obvious, but check your typing to make sure the invitation really did go to your accountant.

  • Access Restrictions: If your accountant cannot access certain areas, review the permissions you granted and update them as needed.

  • Overzealous Spam Blockers: Occasionally, invitation emails disappear into the wilderness. Ask your accountant to check their spam folder and request a new invite if necessary.
